Frequently asked questions about Vehicle Operations

What records do drivers need to carry on the road?
Drivers must carry their CDL, DOT medical certificate, vehicle registration, IFTA credentials (for qualified motor vehicles), proof of insurance, the vehicle's most recent annual inspection report, and ELD documentation including a backup paper logbook.
How long must vehicle maintenance records be retained?
Annual inspection reports must be retained for 14 months after the inspection date. Maintenance records (lubrication, repairs, scheduled services) are kept for the lifetime of the vehicle plus 6 months after disposal. Driver vehicle inspection reports (DVIRs) with defects must be kept for 3 months.
When does a vehicle need a federal annual inspection?
Every commercial motor vehicle operated in interstate commerce must pass a periodic inspection at least once every 12 months. The inspection must be performed by a qualified inspector following the criteria in 49 CFR 396 Appendix G.
What's the difference between Level 1, 2, and 3 inspections?
Level 1 is the most thorough — a full driver and vehicle inspection at a roadside or weigh station. Level 2 is a walk-around vehicle inspection plus driver document check. Level 3 is driver-only (CDL, medical, HOS, paperwork). Levels 4–6 cover special focuses like radioactive materials.
